The great thing about being a real estate agent is the ability to set our own schedule. This is an incredible opportunity but also means we must have a plan if we want to have a successful real estate career.

Somedays, no appointments will be set and that's ok. The only thing that matters is that we are taking the daily actions that will allow us to hit our real estate goal.
Having a daily planner is also one of the best ways to organize yourself as a real estate agent. Reviewing your plan every day will ensure nothing gets missed or forgotten about.
6 Rules For Creating Your Perfect Day
We often hear people say that you shouldn't start something unless you know how it ends. But what happens when we're already doing something? What are some rules for creating our perfect day? We asked five experts to tell us how they do it. Here's what they had to say.
RULE #1: Be realistic
You want to make sure that whatever you decide to do, you'll actually follow through with it. "If I'm going to go running, I don't think 'I'm going to run every morning because I might wake up one morning and just feel like sleeping," says Dr. Elizabeth Lombardo, a psychiatrist and author of The Happiness Advantage. Instead, she suggests setting a specific number of minutes or miles you'd like to cover each week. Then, if you happen to fall short, it won't ruin your whole day.
RULE#2: Make it fun
When you're having a good time, you're much less likely to stress over things that aren't working out. "One thing that really helps me is to find ways to enjoy myself throughout the process," says Dr. Lombardo. So rather than dreading your workout routine, try thinking of it as a chance to meet friends or spend quality time with family. You could even set a timer for yourself and see how long you can keep smiling during your exercise session.
RULE #3: Set small goals.
Smaller milestones give you more opportunities to celebrate along the way. "The best days are those where you've done something big, but you haven't gotten there yet," says Dr. Lombardos. And if you reach a bigger milestone without reaching the smaller ones, that's OK too. She recommends starting with a simple task, such as making a phone call or writing down three positive thoughts. If you succeed, reward yourself with something small, like a cupcake.
RULE #4: Do the important stuff first!
Don't put off doing the "important stuff." You know what I mean. The things that really matter. Like paying bills, cleaning out the garage, or getting organized. If you're already feeling overwhelmed, it might seem like there are too many things to do. But here's the thing: if you wait until everything feels urgent, you'll probably never start anything. Instead, take one small step every day toward accomplishing your goals. And if you miss a day or two, no big deal. Just pick up where you left off tomorrow.
RULE #5: Avoid energy-sucking vampires
The most successful real estate agents aren’t necessarily the ones who spend the least amount of time on each transaction. Instead, they’re the ones who consistently hit deadlines. If you’re able to do that, you’re likely to earn more money.
But the best way to avoid being a victim of energy-sucking vampires is to block out your schedule. Set aside specific times during the day when you can focus on your job. You might even consider scheduling meetings outside those hours.

And remember: if you’re tired, you’re probably making mistakes. So try to pace yourself. Take breaks. Eat lunch. Get enough sleep.
RULE #6: Do everything in blocks of time!
Multitaskers are always trying to do too many things at once. They're constantly switching between multiple apps, checking email, answering texts, and doing whatever else it takes to keep up with the demands of modern life. But research suggests that multitasking just isn't working. In fact, it might even hurt you.
The problem is that we've been trained to think about our days in terms of minutes, hours, and days. We schedule meetings, appointments, and errands around those units of time. And while some people like to cram as much activity as possible into each hour, others prefer to spread activities over several hours. So what happens when you try to fit everything into one hour? You end up with something called "multitasking."
In his book, "Switch," author Switched On Life cofounder David Rock says that multitasking is based on the idea that we can switch rapidly between different mental processes. But according to recent studies, that's not actually how we operate. Our brains aren't designed to handle rapid switches between tasks. When we switch quickly between thinking about something and doing something, our brain gets confused. This leads to errors, mistakes, and missed opportunities.
Instead of trying to juggle too many balls at once, consider breaking down your day into smaller chunks of time. If you want to write a report, don't start writing it immediately. Start by outlining the main points you want to make. Then take breaks throughout the process to check emails, read articles online, or answer text messages. By taking small steps, you'll avoid getting overwhelmed and distracted.
Tips for Designing the Perfect Schedule
If you're working from home, it's easy to fall into the trap of letting your personal life dictate your work hours. You might find yourself staying up late watching TV, taking breaks during the day to go to the gym, or even sleeping in just because you don't feel like getting out of bed. This is especially true if you've been freelancing for a while, since you'll probably already have established habits. If you want to keep your freelance career sustainable, though, you'll need to make some changes. Here are three tips for designing the perfect schedule.
Set boundaries
The most important thing you can do to ensure that you maintain focus is to set clear boundaries around what you're willing to do and what you won't. For example, you shouldn't accept client projects that require you to spend too much time away from your desk. Instead, choose clients whose work fits well within your current schedule.
Start small
You might think that starting off big will give you more flexibility later on, but it doesn't always work that way. When I first started freelancing full-time, my days consisted of spending 8 hours a day writing and editing. By the end of the week, I'd barely had enough energy to shower and eat dinner. Now, I'm lucky if I manage to write for 3 hours every single day. There's no guarantee that things will progress in the same direction over time, but if you start small, you'll have a better chance of making gradual improvements.
Keep track
To avoid falling into old patterns, use a calendar to remind yourself of your daily routine. A simple spreadsheet works great, but there are plenty of apps out there that can help you automate your workflow. One app that I particularly recommend is Airtable. Not only does it allow you to easily organize tasks, but it also makes tracking your time incredibly straightforward.
Realtor Daily Checklist
A real estate agent must have a daily list to complete each day. This checklist includes things such as contacting clients, following up on leads, updating online listings, etc.
In addition to the daily checklist, it is important for a real estate agent to keep track of his or her progress throughout the week. For example, there are times when you might want to call a prospect back to follow up on a lead or contact another client about a listing. If you don’t do this, you could lose out on opportunities.
As an agent, there are a few categories you will want to spend time on each day. If you are a new agent, yours may differ slightly but most of it is the same.
Here is what I recommend having on your daily planner:
Current Clients
- Look at new homes listed that meet their criteria (this can be automated via your IDX site).
- Touch base with those that are actively looking (has your criteria changed, have you seen anything you like, etc.)
Follow-Up
- Your CRM should have proper follow-up dates for everyone you spoke with. You should be able to filter by when the follow-up is due and easily call from here.
- If their home search criteria has changed, be sure to update their search.
- Update notes and add another follow-up date so that they do not get lost
Prospecting & Real Estate Marketing
This section will vary from agent to agent. Some agents want clients without cold calling whereas others only cold calls. Here are some ideas to choose from.
- Call homeowners who own a house matching your client's criteria (my favorite)
- Call For Sale By Owner Listings
- Email leads you have not been able to speak with
- Post property for sale on Facebook Marketplace
- Attend a meetup
Create Online Content
- Post on social media
- Write an article for your real estate agent website (a great way to learn something new, build credibility, and use for real estate marketing)
- Improve your Realtor branding online through videos, photos, and stories
While you are learning the ins & outs of real estate, you can always leverage what you are learning and turn it into a course.
Now, this would be offered completely free but would make a great lead magnet for your website while you are also learning. Here are a few examples:

Since every agent will have a different plan for the day, here is an editable daily planner that is a perfect real estate agent daily planner. Before downloading, I recommend you type in your daily schedule that has the daily actions you must complete every day.
For example, if you want to post on social media every day, type that in so you don't have to remember to write it.
Personally, I don't believe the perfect daily planner for real estate agents exists. The daily schedule of an Agent depends heavily on if you are a new agent if you are (or want to be) a top agent, etc.

Another daily planner option is to create and print your own daily planner. An inexpensive option is to use canva to design the planner. Here is an example planner I (quickly created).

Organize And Manage Your Daily Schedule
Another option when it comes to a daily planner is to use a tool, like Motion. In real estate, you will have many days where at 9a, nothing is scheduled on your calendar. Fast forward to 11a and suddenly, you have multiple appointments scheduled.
While this is a great thing to have happen, you still need to keep up with your daily goals otherwise, you won't have any prospects in the pipeline next month.
I use motion to load in my daily prospecting goals and the amount of time I believe it will take me. From there, I select the days of the week I want the goals to show up on my calendar.
The prospecting blocks are then automatically scheduled on my calendar for the days of the week I selected.
If things come up and I cannot mark the goals as complete, it then gets pushed over to the next day. This ensures my pipeline stays full, even if some days I'm making double the amount of calls.
Motion also works as a great goal planner as I break down my yearly real estate agent goals into monthly goals and then weekly goals. From there, I add them into motion to create my daily plan.
First 30 Days as a New Real Estate Agent
If it's your first 30 days as an agent, it will be very important to set goals and stick to our real estate business plan. Having a daily schedule will be the quickest way to gain clients as a new real estate agent.
Daily Schedule For New Real Estate Agents:
- Spend 15 min a day learning something new about real estate. This can be from a colleague or even a youtube video.
- Shadow a senior agent. Shadowing a real estate agent in your office is the best way to learn. In a matter of a few hours, you will be able to learn a vast amount of information. I recommend shadowing other agents as much as possible.
- Send out a new real estate agent announcement postcard to your sphere of influence
As a new real estate agent, you will be learning quite a bit of information in a short amount of time. The best way to retain this information is to write it down and share it with other people.
This is a great method as not only does it help you retain what you're learning, but you can also use it as content for social media and for online.
One method that works great is to publish what you learn onto your agent website, like the one you are reading now. It's easier than you may think and will also help with the SEO for your real estate agent website.
Once you write the article, you can then share it on social media and use it in the future when a client asks you a question.
